Privacy Policy

Propdex Pty Ltd (ACN 698 716 077) (“PropDex”, “we”, “us” or “our”) is committed to protecting your privacy and handling your personal information openly and transparently. This Privacy Policy explains how we collect, use, store, disclose and protect personal information, and how you can access or correct it or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using PropDex — including our website, dashboard, reports, emails and WhatsApp delivery — you agree to this Privacy Policy.
1. Who we are
Propdex Pty Ltd (ACN 698 716 077) is an Australian company based in Brisbane, QLD, Australia, providing automated property due-diligence reports compiled from publicly available government data. For any privacy question or request, contact our Privacy Officer at legal@propdex.com.au.
2. What this policy covers
This policy applies to personal information we collect through our website (https://propdex.com.au), your account and dashboard, the report ordering and delivery process (including email and WhatsApp), our marketing activities, and related communications. Third-party websites we link to have their own privacy policies, which we do not control.
3. Personal information we collect
We collect only the information we need to provide and improve our service:
- Account information — your name, email address and password (your password is managed by our authentication provider and is not stored by us in readable form).
- Contact details — your mobile number and, on eligible plans where you opt in, your WhatsApp number.
- Billing information — your plan and billing history, and payment identifiers from our payment provider. We do not see or store your full card details; these are handled directly by Stripe.
- Service usage — the property addresses you search and order reports for (including suburb, postcode, state and coordinates), your report history, and the reports generated for you.
- Technical, usage and device information — collected automatically when you visit our website or use our service, such as your IP address, device and browser type, referring pages, pages and content viewed, links clicked, and approximate location. This is collected through our providers’ logs and through cookies, pixels and similar technologies (see “Cookies, analytics and advertising” below).
- Security and audit records — sign-ins, acceptance of our legal documents, and the reports you generate, together with the date and time, IP address, device and approximate location for actions you take. Your IP address is used only for security and auditing (see “Security and audit records” below). You can view and download this record at any time from your dashboard.
We do not collect sensitive information (such as health, racial, political or biometric information) and ask that you do not provide it to us.
4. How we collect it
- Directly from you — when you register, update your profile, order a report, contact us, or message us on WhatsApp.
- Automatically — through server and website logs, cookies, pixels and analytics tools when you use our website.
- From third parties — such as our payment provider (Stripe), which confirms your name, email and payment status so we can activate your account, and our analytics and advertising partners (see below).
5. Why we collect and use it
We use your personal information to:
- create and manage your account and subscription;
- generate the property reports you request and deliver them by email and, where you opt in, by WhatsApp;
- process payments and manage billing;
- provide customer support and respond to your enquiries;
- send service-related messages, such as report-ready notifications and account or billing notices;
- understand how our website and service are used so we can improve them and your experience;
- measure, operate and improve our marketing and sales, including online advertising and audience analysis; and
- maintain security and comply with our legal obligations.
6. Property data and its sources
PropDex reports are built from free, publicly available government and authoritative data — including national and state address data (G-NAF), the Queensland Valuer-General, council and state spatial and planning data, and the Australian Bureau of Statistics. We do not purchase or use CoreLogic or other commercial property-data brokers. The property information in a report describes the land and locality, not you; the only personal information involved is the address you choose to search and the account it is delivered to.
7. Cookies, analytics and advertising
We and our partners use cookies, web beacons, pixels, tags and similar technologies to operate the website, understand how it is used, and support our marketing:
- Essential cookies keep you signed in and keep the site secure; the site may not work properly without them.
- Analytics tools (such as Google Analytics) help us understand how visitors find and use PropDex so we can improve the product and your experience.
- Advertising and audience technologies — including the Google, Meta (Facebook and Instagram), YouTube and TikTok advertising pixels and tags — help us measure our campaigns, understand our audience, and show relevant PropDex ads to you and similar people on those platforms, including remarketing.
These third parties may set their own cookies and collect information about your device and activity directly, which they handle under their own privacy policies. We may combine the insights we receive to better understand our audience and improve our marketing and sales. We do not sell your personal information.
You can manage cookies through your browser settings, and control advertising through each platform’s ad settings (for example, Google Ads settings, Meta ad preferences and TikTok settings) and through industry opt-out tools such as youronlinechoices.com.au. Disabling some cookies may affect how the website works.
8. Marketing communications
With your consent or where otherwise permitted by law, we may send you marketing about PropDex features, offers and content. You can opt out at any time using the unsubscribe link in our emails or by contacting us at legal@propdex.com.au. We will still send you essential service messages, such as receipts and report notifications.
9. Who we share it with
We share personal information with the providers and partners that help us run, promote and improve PropDex, and only as needed:
- Supabase — database and authentication (your account, subscription, order and address-search records);
- Stripe — payment processing and subscription billing;
- Resend — transactional emails;
- Cloudflare R2 — secure storage of your generated report PDFs;
- Meta Platforms (WhatsApp Cloud API) — delivering reports and messages via WhatsApp where you opt in;
- Google, Meta, YouTube and TikTok — website analytics and advertising (see above);
- Vercel and Railway — website and application hosting;
- Upstash — queueing and caching used to generate reports;
- Business and marketing partners — selected partners we work with to provide, promote, improve or distribute our services (for example referral, affiliate, integration and co-marketing partners). We share only what is needed, and require them to protect your information and use it consistently with this policy and applicable law.
We may also disclose personal information where required or authorised by law, or to protect our rights, our users or the public. We do not sell your personal information.
10. Overseas disclosure
Some providers store or process information outside Australia. In particular, Stripe, Resend, Meta, Google, YouTube, TikTok, Vercel, Railway and certain Supabase and Cloudflare infrastructure may process information in the United States, and TikTok may also process information in Singapore. Our dedicated address-search database is hosted in Australia (Sydney). Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
11. Data security
We take reasonable steps to protect your personal information from misuse, interference, loss and unauthorised access, modification or disclosure — including encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.
12. Security and audit records
We keep an audit record of key events on your account, so that both you and we have a reliable history of what happened and when. These events are:
- when you joined and which plan you subscribed to;
- each time you sign in;
- when we emailed you our legal documents, and whether that email was delivered to your inbox;
- when you accepted those documents, both at sign-up and when confirming you had received and read them;
- the property reports you ordered or generated, and their addresses.
For events you carry out yourself, we also record the date and time, your IP address, your device and browser, and an approximate location (city, state and country) worked out from your IP address.
We collect and use your IP address for two purposes only: security — helping us detect and investigate unauthorised access to your account — and auditing — evidencing that our legal documents were provided to you and accepted by you. We do not use your IP address for advertising, profiling or tracking you across other websites, and we do not sell it.
Approximate location is worked out on our own systems using a locally-stored geolocation database. Your IP address is not sent to any third-party location service. Location derived this way is approximate only — a VPN, a mobile network or a corporate network can place you in a different city or country — and it is not evidence of where you physically were.
You can view this entire record at any time in your dashboard under Activity, and download a copy as a spreadsheet (CSV) whenever you wish. The record shows a plain summary of each event; it does not display your IP address.
13. How long we keep it
We keep personal information for as long as you have an account and as needed to provide our service, then for as long as necessary to meet legal, accounting, tax or dispute-resolution requirements. When information is no longer required, we take reasonable steps to delete or de-identify it. You can ask us to delete your account information at any time.
14. Your rights — access, correction and deletion
You can access and update most of your information in your account settings, and view or download your security and audit record at any time from Activity. You may also ask us for a copy of the personal information we hold about you, to correct anything inaccurate, or to delete your account and associated information. Email legal@propdex.com.au to make a request. We will respond within a reasonable time and may need to verify your identity first. There is no fee to request access, although a reasonable cost may apply for some requests.
15. Complaints
If you believe we have mishandled your personal information or breached the Australian Privacy Principles, contact our Privacy Officer at legal@propdex.com.au. We will acknowledge your complaint and aim to respond within 30 days. If you are not satisfied with our response, you can refer the matter to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
16. Changes to this policy
We may update this Privacy Policy from time to time. The current version, with its effective date, will always be available on this page. Where changes are significant, we will take reasonable steps to notify you.
